During the development of our mytracekey UDI Manager, we had to answer a few questions. Which functions must be included? When will the public release take place? What should the pricing look like? Various options were considered for the last question. A license model with a one-off payment, a subscription model with monthly payments or a freemium model with additional functions for a fee. In the end, tracekey opted for a “pay-as-you-use” model.
This model gives our customers the greatest possible flexibility. At the same time, the price remains transparent and affordable. We would like to use this article to demonstrate this transparency and offer a sample calculation for a better understanding. In the course of this, the “Pay-As-You-Use” model will be explained in more detail and its advantages and disadvantages will also be discussed.
What is the pricing structure of the UDI Manager?
Our webshop contains two different packages for the UDI Manager. On the one hand, there is the UDI Manager BASIC for €39. It includes 10 UDIs. Each additional UDI published in mytracekey costs €1.20.
On the other hand, the UDI Manager FULL is available for 79€, including 100 UDIs. In this package, our customers pay just €0.04 for each additional UDI. Herein, our system counts all active UDIs. This means all those that are not deactivated or have the device status “NO LONGER PLACED ON THE MARKET”. UDIs with the status “Draft”, for example, are also counted.
To avoid double counting of an already published UDI, while still saving changes made to a product, the UDIs are versioned and counted automatically. If an existing UDI is uploaded again with changes, no second product with the same UDI is created. Instead, our system recognizes the existing UDI and only counts it as a new version. In mytracekey we use the material number as a reference number for versioning the individual products.
Accordingly, the UDIs are counted and invoiced at the end of each month. This means that the total invoice, consisting of the package price and the price for additional UDIs, is generated at the end of each contract month.
What is the “Pay-As-You-Use” model?
The “Pay-As-You-Use” model is a usage-based billing model. This means that the costs are directly linked to the use of the UDI Manager. Instead of paying a fixed monthly fee for a package of 1,000 UDIs, for example, customers pay a basic fee and a low amount per active UDI. This pricing structure allows us to offer a lower base price that matches the customer’s actual needs.
Advantages and disadvantages of the “Pay-As-You-Use” model
The “Pay-As-You-Use” model has several other advantages and disadvantages. For customers, this pricing model can appear intransparent, as the final price is not yet known at the time of booking. Our sample shows that the total costs can be easily calculated in advance. We want to help potential customers calculate in advance to offer as much transparency as possible. This is also particularly easy for the UDI manager, as the number of UDIs available in the company is usually known.
Another advantage, in addition to the low basic price, is the scalability that our offer enables. If a company decides to launch additional products on the market, they can simply be added in the UDI Manager and entered in EUDAMED. The subscription does not need to be adjusted for this. In this way, we offer our customers the greatest possible flexibility.
Sample calculation
Here we assume use of the UDI Manager FULL, without M2M connection:
- First month: basic fee for UDI Manager FULL: €79, 100 UDIs have been uploaded, so the total price is: €79.
- Second month: Basic fee for UDI Manager FULL: 79 €, additionally 150 UDIs were uploaded and published. Total bill at the end of the month: €79 + 150 x 0.04 = €85.
- Third month: Basic fee for UDI Manager FULL: 79 €, additionally 200 UDIs were uploaded and published. Total bill at the end of the month: 79 € + 350 x 0.04 = 93 €.
- Fourth month: Basic fee for UDI Manager FULL: €79, no additional UDIs were uploaded and published. Total invoice at the end of the month: €79 + 350 x 0.04 = €93.
The invoices are generated automatically by us. At the end of each month, our software counts the UDIs in the system and reports them to our customer portal. The total invoice is created for the respective month based on the monthly fixed fee, the UDIs included in the package and the costs for additional UDIs. Finally, the total invoice can be viewed in our customer portal.
